Identify the information the route needs
Use the courier's actual supported address requirements and coverage. Keep city, locality and relevant delivery details consistent across the order form, confirmation record and parcel label. Ask only for information needed to fulfill the task.
Do not infer that every refused order was caused by a bad address. Price surprise, product mismatch, timing and changed need require different investigation. Keep the recorded reason and suspected cause separate.
Review common ambiguities
| Address issue | Useful clarification |
|---|---|
| Missing destination detail | Ask for the route-relevant information |
| Conflicting city or locality | Confirm the intended destination |
| Unclear delivery contact | Confirm the appropriate contact through the supported process |
| Unsupported area | Explain the actual service limit before dispatch |
| Customer unavailable | Agree the supported next step or timing |
Do not promise an appointment slot the courier cannot provide.
Worked example: confirmation without destination clarity
Illustrative example: a customer confirms purchase intent, but the address combines a city with a locality served through another route. The order moves to dispatch because the only required field is “confirmed.” Adding a specific destination check can reveal the issue before the parcel leaves.
Record the clarification in the order system, not only in a private chat. Otherwise the warehouse can print the original address and erase the benefit of the conversation.
Evaluate the process rather than one call count
Review address-related delivery exceptions, repeat contact attempts and mature outcomes. A longer confirmation call may be worthwhile when it prevents repeated delivery confusion, but unnecessary questions can also create friction.
Audit a small set of recent problematic parcels and identify the exact missing information. Repair the form or handover step that lost it. Use the multilingual script to keep the clarification consistent across customer languages.
